Position Overview:
Ultimate Staffing is actively seeking an experienced Office Manager to join their client's team in California. This vital role involves overseeing daily office operations, managing administrative functions, and supporting various departments to ensure seamless workflow. The ideal candidate will bring strong organizational skills, excellent communication abilities, and experience in office management to help the company run efficiently and effectively.
Responsibilities:
- Coordinate and manage schedule appointments, meetings, and calendar activities for leadership and teams.
- Supervise administrative staff and oversee office operations to maintain a productive work environment.
- Handle vendor management tasks including procurement, contract negotiations, and maintaining supplier relationships.
- Work with the Service Team to prepare spare parts shipments, PM scheduling, tracking, and filing.
- Support the procurement team in spare parts inventory management.
- Support human resources functions such as onboarding new employees, training & development initiatives, and maintaining personnel records.
- Support team with projects or event coordination.
- Oversee front desk responsibilities including multi-line phone systems, phone etiquette, greeting visitors, and managing incoming correspondence.
- Organize filing systems and ensure all administrative documentation is accurate, up-to-date, and easily accessible.
Qualifications:
- Proven experience in office management, clerical work, or administrative roles with a focus on efficiency.
- Strong communication skills with the ability to interact professionally with clients, vendors, and team members.
- Excellent organizational skills with attention to detail in scheduling, filing, and recordkeeping.
- Supervising experience with the ability to lead teams effectively.
- Knowledge of human resources practices including onboarding and employee training.
- Experience in event planning and vendor management to coordinate company functions smoothly.

Monday to Friday, first shift

Additional Details:
This position is a supervisory role with a salary range of $60,000 to $70,000 per year.
